A Grant Writer's Reference Guide

The process of applying for grant funding can be complicated and overwhelming. We’ve prepared this short guide to help you complete your application.

Pre-planning your grant application

1. Before you begin

  • Read the entire application.
  • Determine whether you are eligible for the grant.
  • Be sure to follow all directions and requirements.
  • If you previously submitted a grant and did not receive it, ask for corrective feedback.
  • Utilize the feedback to re-submit the grant.

2. Begin with the end in mind

  • Use existing plans (Technology, Strategic, Schoolwide) for grant components.
  • Use components of previously written grants.
  • Use application evaluation data or matrix to prioritize components and emphasis.

3. Think big

  • Plan before the grant.
  • Have needs assessment data ready.
  • Accentuate demographics (census data, test scores, technology access, poverty level, etc.) to demonstrate need.
  • Push the envelope – ask for the maximum.
  • Know your goal!
  • Your goal should be a solution - not a product.


Make the grant components related to your goal

1. Objectives

  • Keep the number manageable.
       More is not always better
       Build on organizational strengths
       Stay focused on the goal
  • Establish measurable criteria.

2. Strategies

  • Make the person reading your grant a believer. The "story" should be one of transformation.
  • Be innovative.

3. Activities

  • Be very specific.
  • Keep timelines reasonable.
  • Identify adequate personnel.
  • Establish criteria for evaluation.
  • Use charts and graphs for easier readability.

4. Evaluation

  • Not an afterthought.
  • Strong evaluation implies success.
  • Include quantitative and qualitative tools.
  • Utilize data that is already required such as assessment, attendance, etc.

5. Sustainability

  • Discuss how program will continue with other funding sources and complement existing initiatives.
  • Review opportunities to replicate the grant program in other locations.
  • Volunteer to serve as a demonstration site or compile a video diary of activities funded by grant.
  • Professional development - many grants require specific descriptions and implementations.
  • Personnel
  • Budget

6. Partnerships

  • Plan for ensuring commitment (approval by school governance, Parent-Teacher Organization).
  • Include community-based organizations.
